The Purpose of Documentation
Documentation is the evidentiary backbone of a home inspection report. Written narratives describe conditions in words, but photographs, and in some cases video or thermal imaging, provide visual corroboration that strengthens the client's understanding and the inspector's defensibility. A report that pairs a clear narrative with a well-composed photograph of the exact condition described leaves little room for dispute about what was actually observed.
Beyond legal protection, documentation serves a practical communication purpose. Many clients are not on-site during the entire inspection, and photographs let them see conditions in attics, crawlspaces, or roof areas they may never personally access. Well-organized photo documentation often does more to help a client understand a defect's severity than paragraphs of text alone.
Documentation habits should be built early in an inspector's career, since inconsistent habits are difficult to correct later and gaps in documentation are typically only noticed after a dispute has already arisen, when it is too late to go back and capture missing images.
Photography Best Practices
Photographs should be taken from a distance that establishes context (showing the component or area as a whole) as well as close-up images that clearly show the specific defect. A single close-up photo with no context can leave a reader unsure of exactly where the condition is located, while a single wide photo may not clearly show the deficiency itself. Pairing both types gives a complete picture.
Consistent labeling and organization matter as much as image quality. Photographs should be grouped by system or area (roof, exterior, electrical, plumbing, interior rooms, attic, crawlspace) so that both the inspector and the client can locate relevant images quickly. Many reporting software platforms embed photos directly next to the corresponding narrative, which is the preferred approach because it eliminates any ambiguity about which photo supports which finding.
Photographs of normal, unremarkable conditions can also have value, particularly for components that are often disputed later, such as the condition of a roof at time of inspection, existing cracks in a driveway, or pre-existing cosmetic conditions. Documenting the baseline condition protects the inspector if a claim is later made that damage occurred after the inspection.

Limitations Versus Defects
A limitation is a condition that prevents the inspector from observing or evaluating a system or component, such as stored furniture blocking an electrical panel, standing water preventing crawlspace entry, or a locked mechanical room. A defect, by contrast, is an actual observed deficiency in a system or component. Both must be documented, but they require different language: limitations should clearly state what could not be inspected and why, while defects describe what was found.
Failing to distinguish between the two creates confusion and legal exposure. If an inspector does not clearly state that an area was not accessible, a client may later assume it was inspected and found to be in good condition, when in fact it was never evaluated at all. Clear limitation language protects both parties by setting accurate expectations about what the report does and does not cover.
Limitations should be documented with the same rigor as defects: noting the specific location, the reason access was denied, and, where applicable, a recommendation that the area be made accessible for future evaluation. Photographs of the obstruction itself (such as stored boxes blocking a panel) are useful corroborating documentation.
Documenting Inaccessible or Unsafe Areas
Certain areas are routinely inaccessible due to safety concerns rather than simple obstruction, such as a steep or unsafe roof pitch, a crawlspace with insufficient clearance, or an attic lacking safe decking to walk on. InterNACHI's Standard of Practice specifically allows inspectors to decline entry into areas presenting a safety hazard to the inspector, provided this is clearly disclosed in the report.
When an area cannot be safely accessed, the report should state the specific reason (for example, roof pitch exceeds safe walking angle, or crawlspace clearance is less than 18 inches with standing water present) rather than a generic statement that the area was not inspected. Specific reasoning helps the client understand that the limitation was a professional judgment call, not an oversight.
In some cases, alternative methods of observation, such as viewing a roof from the ground with binoculars or from a ladder at the eave line, may be used and should be described as such, since these methods provide a different, more limited view than direct access and the report language should reflect that difference.
Recordkeeping and File Retention
Beyond the final report delivered to the client, inspectors should retain field notes, photographs, and any supporting data such as moisture meter readings or thermal images for a defined retention period. Many errors and omissions insurance policies require or strongly recommend retaining full inspection files for a minimum number of years, since claims can be filed well after the transaction closes.
A consistent naming and filing system, whether cloud-based or local, ensures that records can be retrieved quickly if a question arises months or years later. Losing supporting documentation in a dispute can significantly weaken an inspector's position even if the original inspection was performed correctly.
Inspectors should also retain the signed pre-inspection agreement alongside the report, since the agreement defines the scope of the inspection and often contains provisions addressing limitations of liability that are directly relevant if a dispute arises later.
